Privacy Policy
Effective date: October 27, 2026
This policy explains how WorkPods collects, uses, stores, shares, and deletes information when you visit workpods.ai, use the WorkPods platform, or connect a third-party service.
Who we are
WorkPods is an AI-assisted marketing intelligence and execution platform. In this policy, “WorkPods,” “we,” “our,” and “us” refer to the team operating the WorkPods service. For privacy questions or requests, email contact@workpods.ai.
Information we collect
- Account and workspace information: your name, work email, organization, role, authentication and session information, and workspace access.
- Brand and marketing information: the websites, brands, competitors, business context, content, evidence, approvals, and instructions you provide or create in WorkPods.
- Connected-service data: information you authorize us to obtain from Google and other marketing, analytics, advertising, content, and communication services.
- Usage and technical information: device and browser information, IP address, requested pages, timestamps, diagnostic events, and security logs.
- Communications: messages and other information you send when you contact us for sales, service delivery, or support.
Analytics on our website
We use Google Analytics 4 on workpods.ai to understand how visitors use the site: the pages viewed, how visitors arrived (for example from a search engine or an AI assistant), their approximate location (country and city), and their device and browser. Google Analytics is not used in our app at app.workpods.ai. We do not send names, email addresses, submitted website addresses, or form contents to Google.
In the EU, EEA, UK, and India, analytics run only after you accept them in the banner. Elsewhere they run by default. You can turn them off at any time with “Your privacy choices” at the bottom of every page, and we treat a Global Privacy Control signal from your browser as an opt-out. Google Analytics keeps this data for 14 months. Google processes it as our service provider under Google's privacy policy.
Google user data
WorkPods accesses Google data only after an authorized user initiates a connection and grants the requested permissions. The connection is used to provide the marketing measurement, reporting, analysis, and recommendation features visible in WorkPods.
Search Console
We access the sites and properties available to the connected account, access and permission information, and search-performance data such as queries, pages, dates, countries, devices, search appearances, clicks, impressions, click-through rate, and average position.
Google Analytics 4
We access available accounts and properties and aggregated analytics reports, dimensions, and metrics needed to measure website traffic, acquisition, engagement, and outcomes.
Google Ads
We access available customer accounts, campaign structure, ads, keywords, search terms, conversion configuration, and reporting metrics. The WorkPods connection uses this information for reporting and recommendations; it does not make changes to your Google Ads account.
We also store connection metadata, the permissions granted, and OAuth access and refresh tokens needed to maintain a connection. OAuth credentials are encrypted at rest and are not displayed to workspace users.
Meta Platform data
WorkPods accesses non-public Meta data only after an authorized user connects through Facebook Login for Business or grants WorkPods partner access to selected business assets. We use that access to provide the paid-media reporting, analysis, account-health, and recommendation features visible in WorkPods.
Accounts and business assets
We access the Meta businesses and advertising accounts available to the connected user so a workspace administrator can select the accounts to use. This may include account identifiers, names, status, currency, time zone, and permission or connection metadata.
Advertising and measurement
For selected ad accounts, we access campaign, ad-set, ad, and creative metadata; budgets, delivery status, and tracking configuration; and reporting data such as spend, impressions, clicks, reach, frequency, video activity, attributed actions and values, and available country, region, age, gender, device, audience, and placement breakdowns.
Permissions and control
WorkPods requests the ads_read permission to read advertising data and the business_management permission to discover the business assets and ad accounts the user may select. We do not use these permissions to create, edit, or delete Meta ads, manage unrelated business assets, or publish to Facebook or Instagram.
We store the selected account mapping, granted permissions, connection status, and the encrypted access token needed to maintain the connection. WorkPods may also collect publicly available advertiser and creative information from the Meta Ad Library for brand and competitor research; that public collection does not use a connected account's token.
How we use information
We use information to:
- provide, maintain, secure, and troubleshoot the WorkPods service;
- connect authorized sources and collect the data selected by workspace users;
- produce dashboards, measurements, audits, analyses, recommendations, drafts, and approved work;
- personalize the service to the brand and workspace using it;
- communicate about the service and respond to support requests;
- prevent fraud, abuse, and security incidents; and
- comply with law and enforce our agreements.
Automated systems, including AI services acting as processors, may process selected information to create the user-facing analyses, recommendations, and drafts you ask WorkPods to provide. We do not use Google user data to train general-purpose AI models or for advertising, retargeting, credit decisions, or surveillance. We apply the same restriction to data received from Meta.
How we share information
We may share information only as needed with:
- authorized members and operators of your WorkPods workspace;
- vendors that process data on our behalf for hosting, storage, security, communications, support, analytics, or AI-assisted product features;
- third-party services when you direct or authorize the connection or transfer;
- authorities or other parties when required by law or needed to protect rights, safety, and security; and
- a successor in a merger, acquisition, financing, reorganization, or sale, subject to applicable notice and consent requirements.
We do not sell personal information or data received from Google or Meta. We do not transfer connected-service data to data brokers, information resellers, or advertising platforms for their own use. Our personnel and service providers may access data only when necessary to deliver a feature or service you requested, provide support with your authorization, protect the service, or comply with law.
Retention, disconnection, and deletion
We retain information for as long as needed to provide the service, preserve the reporting and evidence records requested by a workspace, meet security and legal obligations, resolve disputes, and enforce agreements. Retention periods vary by the type of information and the reason it is held.
Disconnecting a Google or Meta integration in WorkPods stops new collection through that connection. Previously collected reports, evidence, and derived analyses may remain in the workspace so its historical record is complete. You can separately revoke WorkPods' Google authorization from your Google Account connections or remove WorkPods from your Facebook Business Integrations.
To request deletion of stored OAuth credentials, connected Google or Meta data, your account, or other personal information, email contact@workpods.ai. We will verify the request and delete or de-identify covered information unless we must retain it for legal, security, fraud-prevention, or other legitimate obligations.
Meta data deletion instructions
To delete data received through a connected Meta account, disconnect Meta in WorkPods and email contact@workpods.ai with the email address used for WorkPods and the workspace name. Do not send a Facebook password or access token. After verifying the requester's authority, we will revoke and delete the stored Meta credential and delete or de-identify the covered Meta account data, except information we must retain for the obligations described above. For Facebook Login connections, you may also remove WorkPods from Facebook Business Integrations to revoke access directly.
Security
We use technical and organizational safeguards designed to protect information, including encrypted transport, encryption of OAuth credentials at rest, access controls, and security logging. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices and rights
Depending on where you live, you may have rights to access, correct, export, object to processing of, restrict, or delete personal information. You can manage source connections from WorkPods, revoke access through Google or Meta, and contact us to exercise a privacy right. We may need to verify your identity and authority over the relevant account or workspace.
Children
WorkPods is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
International processing
WorkPods and its service providers may process information in countries other than your own. Where required, we use safeguards intended to protect information when it is transferred across borders.
Changes to this policy
We may update this policy as the service or legal requirements change. We will post the revised policy here and change the effective date. If a change materially affects how we use data received from Google or Meta, we will provide additional notice and obtain consent when required before using that data for the new purpose.
